It applies to tornadobaseballclub.com and any forms embedded on it. It does not govern information collected through third-party platforms such as PlayMetrics, Facebook, or Instagram, which have their own privacy policies.

Tennessee Tornado Baseball Club ("TTBC," "we," "us," or "our") is a 501(c)(3) nonprofit organization (EIN: 41-4273223) based in Clarksville, Tennessee. We operate a competitive youth baseball program serving families across Middle Tennessee.

We collect information only when you voluntarily submit it through one of our website forms. We do not collect information passively or automatically through this site at this time, though we may add analytics in the future (see Section 6).

Contact Form — When you submit a general inquiry, we collect:

Sponsor Interest Form — When you submit a sponsorship inquiry, we collect:

  • Your name and/or business name
  • Your email address and any other contact information you provide
  • Information about your sponsorship interest

Team Registration — Registration for participation is handled entirely through PlayMetrics, an independent platform with its own privacy policy. TTBC does not collect or store registration data through this website.

3. How We Use Your Information

We use the information you submit only for the purpose for which it was provided:

  • To respond to your inquiry or question
  • To follow up on sponsorship interest
  • To communicate with you about club-related matters directly relevant to your inquiry

We do not currently send newsletters, promotional emails, or marketing communications. If we introduce email communications of that nature in the future, we will provide clear opt-in and opt-out mechanisms and update this policy accordingly.

4. How We Share Your Information

We do not sell, rent, or trade your personal information to any third party.

We may share your information in the following limited circumstances:

  • Service providers: We use third-party platforms to operate this website and manage club communications, including Cambium Suite by MulsonMedia (form processing and CRM) and PlayMetrics (registration management). These providers access information only as necessary to perform services on our behalf and are not authorized to use it for any other purpose.
  • Club administration: Authorized club administrators may access submitted information for the purpose of communication, inquiry response, and club management.
  • Legal compliance: We may disclose information if required by law or in response to a valid legal process.

5. Children's Privacy

This website is intended for use by parents, guardians, and adult sponsors — not by children. We do not knowingly solicit or collect personal information from individuals under the age of 13. Our on-site forms are directed at adults.

Team registration for players, which may involve collection of information about minors, is conducted through PlayMetrics and is subject to PlayMetrics' privacy policy and any applicable federal protections under the Children's Online Privacy Protection Act (COPPA).

6. Cookies and Analytics

We do not currently use analytics tracking tools or advertising cookies on this website. Our website platform (Cambium Suite) may set functional cookies necessary to operate embedded forms; these are not used for advertising or tracking across other websites.

We anticipate adding analytics tools (such as Google Analytics) in the future to better understand how visitors use our site. When we do, we will update this policy to disclose what is collected, how it is used, and how you can opt out. Google Analytics, if added, will be used in compliance with Google's data policies and applicable law.

We retain form submissions and correspondence for as long as necessary to fulfill the purpose for which they were submitted, or as required for legitimate club operations. Data submitted via our forms is processed and stored through Cambium Suite by MulsonMedia, which employs industry-standard security practices. No method of transmission over the internet is completely secure, and we cannot guarantee absolute security.

This website contains links to third-party websites including Facebook, Instagram, and PlayMetrics. We are not responsible for the privacy practices of those platforms. We encourage you to review their respective privacy policies before submitting information to them.
